How to View and Export Your Invoice Report — Shipper Guide
The Invoice Report gives you a complete overview of all your invoices in one place. You can filter by status, search by booking or invoice number, select a custom date range, and export the full report to Excel for your records.
Overview
The Invoices Report is found under the Reports section in your shipper account. It shows a summary of all invoices generated from your bookings — including subtotal, tax, total amount, balance due, due date, payment status, and payment mode — all in a single view.
Step 1 — Navigate to the Invoice Report
Log in to your Shipper account
In the left-hand navigation menu, click Reports
From the expanded submenu, click Invoices
You will land on the Invoices Report page.
Step 2 — Understand the Summary Cards
At the top of the page, four summary cards give you an instant snapshot of your invoice status for the selected date range:
Card | Description |
|---|---|
Total Invoices | Total number of invoices and combined value in SAR |
Overdue Invoices | Invoices that have passed their due date without payment |
Due Invoices | Invoices that are outstanding and due for payment |
Paid Invoices | Invoices that have been fully settled |
These summary cards update automatically based on the date range you select.
Step 3 — Set a Date Range
By default, the report shows invoices for a pre-set period (e.g. 22/04/2026 – 22/05/2026). To view invoices for a specific period:
Click the Date Range field at the top of the page
Select your preferred start date and end date from the calendar
The report will automatically refresh to show only invoices within that period
Note: The information shown is always for the period selected. Changing the date range will update both the summary cards and the invoice list below.
To clear the date range and reset the view, click the X icon next to the date field.
Step 4 — Filter Invoices by Status
Below the summary cards, use the filter tabs to narrow down invoices by payment status:
Filter | Description |
|---|---|
All | Shows every invoice regardless of payment status |
Due | Shows only invoices that are outstanding and awaiting payment |
Paid | Shows only invoices that have been fully settled |
Use the Due filter to quickly identify all invoices that need attention, especially when approaching payment deadlines.
Step 5 — Search for a Specific Invoice
Use the Search bar to find a specific invoice quickly:
Click on the search bar — "Search with Booking ID or Invoice Number"
Type either the Booking Number (e.g. W1504) or the Invoice Number (e.g. 471)
The list will filter instantly to show matching results
You can also sort the invoice list using the Sort By dropdown in the top-right corner — default is Newest first.
Step 6 — Understand the Invoice List Columns
Each row in the invoice list represents one invoice. Here is what each column means:
Column | Description |
|---|---|
Invoice No. | Unique invoice reference number |
Invoice Date | Date the invoice was generated |
Bookings No. | The booking this invoice is linked to |
Subtotal | Amount before VAT |
Tax | VAT amount charged (15%) |
Total | Full amount including VAT |
Advance | Any advance payment already made |
Balance | Remaining amount due after advance |
Due Date | Deadline for payment |
Payment Status | Current status — Due, In-Process, or Paid — with days remaining |
Payment Mode | How the invoice is being paid — e.g. Credit, Wire Transfer |
Payment Date | Date payment was completed — shows N/A if not yet paid |
Step 7 — Export the Invoice Report
You can export all invoice data to an Excel file for accounting, auditing, or record-keeping purposes:
Click the Export All button at the top of the page (next to the date range field)
The report will download as an Excel file to your device
The exported file includes all columns visible in the invoice list for the selected date range
Always set your preferred date range before exporting to ensure the Excel file contains only the invoices relevant to your required period.
