How to find, accept, and manage bookings on carrier.
Managing Bookings and Trips on Wajeeh — Carrier Guide
The booking journey on Wajeeh follows a clear path. You start on the load board where open bookings are listed, accept one that suits your fleet, and from that moment the booking becomes a trip you can track and manage through to completion.
Step 1 — Find a Booking on the Load Board
Navigate to Bookings → Find a Booking in the left-hand navigation menu.
The load board shows available bookings with key details up front:
Route
Truck type
Distance
Cargo type
Offered rate in SAR
Browse the listings and use the available filters to narrow down by:
Truck type
Route
Pickup date
Note: Only bookings that match your registered truck types will typically appear as compatible. Make sure your fleet details are up to date under Management → Trucks in your account.
Step 2 — Review and Accept the Booking
Click into the booking to review its full details before committing. Check the following:
Pickup and delivery addresses
Scheduled pickup date and time
Load type and weight
Distance
Agreed rate
Whether the trip is domestic or port-related
Once you are satisfied, accept the booking:
Click the Actions button in the top-right corner of the booking detail page
Select Accept Booking from the dropdown menu
The system confirms your acceptance and immediately creates a trip record tied to this booking
Tip: Once you accept, the booking is removed from the load board and is no longer visible to other carriers. Act quickly on bookings with tight pickup windows.
Step 3 — Find Your Booking in Trips
After accepting, navigate to Bookings → Trips in the left menu. Your newly accepted booking will appear at the top of the list, sorted by newest first, with a status of Drivers Assignment Pending — meaning the booking is confirmed but needs a driver before it can move forward.
Click the trip ID (e.g. W1457A) to open its full detail page. At the top you will see:
The trip tag
The booking ID
The truck type
The Status & Actions tab will show the acceptance logged with a precise timestamp under the Logs section.
Note: The Trips page has two tabs — Wajeeh and Self-Booking. Bookings accepted from the load board appear under the Wajeeh tab.
Available filter tabs on the Trips page:
Filter | Description |
|---|---|
All | Shows every trip regardless of status |
Drivers Assignment Pending | Accepted trips that still need a driver |
Ongoing | Trips currently in progress |
Upcoming | Confirmed trips scheduled for a future date |
Delayed | Trips with a logged delay |
Completed | Successfully delivered and closed trips |
Cancelled | Trips cancelled by the shipper or carrier |
Use the Drivers Assignment Pending filter tab to quickly surface all trips that still need a driver — useful if you have accepted multiple bookings at once.
Step 4 — Assign a Driver
The trip will not progress to pickup until a driver is assigned. Open the trip and go to the Status & Actions tab. The progress panel will show Carrier Assigned as the completed step and Driver Assignment as the next required action.
Click the Assign Driver button in the Trip Progress panel
Select the driver and truck from your roster
Confirm the assignment
The trip status updates to Driver Assigned and the progress bar advances to the next stage.
Tip: The progress bar tracks three stages: Carrier Assigned → Started for Pickup → Started for Delivery It is the fastest way to see where any trip stands at a glance.
If you need to replace the driver later, go to the Details tab and click Change Driver next to the driver's name.
Step 5 — Monitor and Manage the Active Trip
With a driver on the road, the Status & Actions tab is your main view. Key features include:
Logs section — records every event chronologically with a date and time stamp:
Trip Created
Carrier Accepted
Driver Assigned
All subsequent updates
Locate button — opens a live map showing the driver's current position.
Documents tab — upload or view documents such as the bill of lading or delivery confirmation.
Chat / Call — click in the top-right corner of the trip page to message or call the shipper directly. All messages are saved to the trip record.
Step 6 — Handle Reports if Needed
If anything comes up during the trip — an incident, accident, or special request — it gets logged under the Reports & Requests tab. Any report filed shows:
Type of report
Who raised it
When it was created
Current status
To raise a new report:
Click + New Report / Request
Complete the details
Submit
Respond promptly to anything sitting in Pending status — unresolved reports can affect trip closure and payment.
